The Event Assistant plays a key role in delivering exceptional event experiences through seamless execution and attention to detail. This position is responsible for coordinating event operations, including logistics, setup and breakdown, equipment and inventory management, and maintaining high standards of service and facility presentation. In this role, you will lead and support a team of 25+ staff, including involvement in hiring, training, and scheduling, while fostering a collaborative and high-performing environment. The Event Assistant partners closely with both front- and back-of-house teams, including bar and kitchen staff, and contributes to event planning and design to ensure each event meets and exceeds expectations. This position follows a Wednesday-Sunday schedule. Please note that GreatHorse is a non-tipping facility.
Job Responsibility:
Coordinating event operations, including logistics, setup and breakdown, equipment and inventory management
Leading and supporting a team of 25+ staff, including involvement in hiring, training, and scheduling
Partnering with front- and back-of-house teams, including bar and kitchen staff
Contributing to event planning and design
Overseeing inventory management and procurement of all event-related equipment
Confirming, tracking, and managing client-provided items
Recruiting, hiring, supervising, training, scheduling, and motivating service staff
Supporting the bar in the service of alcoholic beverages when needed
Ensuring all floor sets are accurate and completed to floorplan specs
Completing post-event and post-dinner service reports
Management of the member dining and service team
Assigning staff duties and sections to the daily floor plan
Addressing negative member and guests' feedback
Assisting with event creation, including menus, signage, and design of table settings and culinary stations
Requirements:
5+ years in hospitality operations, 2+ years in team management
Availability to work various shifts, including early mornings, nights, weekends, and occasional holidays
Must be 21 years old
Physical ability and stamina to manage, carry, or lift items more or less than forty (40) pounds
Knowledge of appropriate set-up, table settings, and level of service
Ability to manage tasks independently
Ability to lead service staff
Ability to stand, walk, and move around for the entire shift
Multi-tasking abilities
Good oral communication skills
Ability to remain calm and professional in a fast-paced work environment
Ability to take initiative and perform job functions with diligence, speed, and accuracy
