Beacon Hill has partnered with a reputable consulting firm in Chicago in hiring an Events and Program Manger to start immediately. The Events and Program Manager will oversee all aspects of event strategy, budgeting, logistics, vendor management, and on‑site execution. This role requires a proactive planner who thrives in fast-paced, high-expectation environments and can transform business goals into memorable experiential moments.
Job Responsibility:
Develop, plan, and execute corporate events including conferences, client summits, roundtables, executive dinners, workshops, internal meetings, and large-scale programs
Translate business goals and marketing objectives into strategic event experiences that strengthen client relationships and brand presence
Manage full event lifecycle including sourcing, contract negotiation, budgeting, logistics, timelines, communications, run‑of‑show development, and reporting
Lead cross‑functional collaboration with marketing, consulting teams, and senior leadership to ensure alignment on objectives, content, and attendee strategy
Oversee vendor selection and management across venues, production teams, DMCs, caterers, transportation providers, and A/V partners
Develop and manage event budgets, including forecasting, tracking, approvals, and post‑event reconciliation
Create and manage detailed project plans, event documentation, floor plans, contingency plans, and on‑site coordination guides
Oversee attendee registration platforms, invitations, email communication workflows, and engagement tools
Manage speaker logistics and support including prep calls, briefing documents, materials, and session coordination
Serve as the on‑site lead for event setup, execution, troubleshooting, and teardown, ensuring a polished, seamless experience
Monitor event performance metrics, gather attendee/sponsor/client feedback, and provide post‑event reporting and recommendations
Ensure all events reflect brand standards, elevate client experience, and meet compliance, accessibility, and risk‑management guidelines
Maintain strong relationships with external partners and negotiate favorable contract terms and service levels
Stay current on industry trends, technology platforms, best practices, and elevate the company's event capabilities
Manage travel coordination, accommodations, and hospitality elements for attendees, executives, and internal teams as needed
Mentor or oversee junior team members or contractors supporting event workstreams when applicable
Requirements:
7+ years of experience in corporate event planning, preferably in professional services, consulting, financial services, or B2B environments
Proven track record managing complex, multi‑day, multi‑stakeholder events with 50-500+ attendees
Strong vendor negotiation skills and experience managing large event budgets
Exceptional project management, time management, and organizational skills
Strong communication skills and the ability to partner with executives and senior stakeholders
Experience with event platforms (Cvent, Splash, Bizzabo, or similar) preferred
Ability to travel 20-40% depending on event calendar
Calm under pressure, with excellent problem‑solving abilities and a client‑service mindset
