Job Description

Robert Half is working with a well-established Chicago law firm to identify a full-time Estate Planning Legal Assistant to support a growing trusts and estates practice. This is an excellent opportunity for a detail-oriented legal professional who thrives in a collaborative, client-focused environment.

Job Responsibility

  • Provide administrative and executive support to estate planning attorneys
  • Draft, edit, proofread, and format estate planning documents, including wills, trusts, and powers of attorney
  • Coordinate and attend estate plan signings
  • Prepare and organize physical and electronic closing binders
  • Assist with trust administration tasks at the direction of attorneys, including locating and organizing estate and trust assets
  • Communicate professionally with clients and manage correspondence as directed
  • Proactively manage calendars, schedule meetings, and coordinate conference/video calls
  • Open new client matters, including preparing engagement letters, intake forms, and conflict materials
  • Assist with billing-related tasks, including sending invoices and responding to client inquiries
  • Maintain electronic and physical files using a document management system
  • Support attorneys with expenses, CLE tracking, time entry, and other administrative needs
  • Provide occasional reception coverage and other duties as assigned

Requirements

  • 3+ years of experience as a legal secretary or legal assistant within estate planning or trust & estate law
  • Advanced proficiency in Microsoft Word, Outlook, and PDF tools
  • Experience with document management systems
  • Strong written and verbal communication skills with exceptional attention to detail
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Professional, dependable, and client-service oriented
  • High level of discretion and confidentiality
