The Estate Planning Legal Assistant will assist attorneys with estate planning matters, providing administrative and legal support to ensure smooth operations and excellent client service. The ideal candidate will have prior experience in estate planning, probate, or trust administration and possess a proactive approach to workload management.
Job Responsibility:
Draft, revise, and format estate planning documents, including wills, trusts, powers of attorney, healthcare directives, and beneficiary designations
Coordinate client meetings and manage attorney schedules related to estate planning matters
Gather necessary client information and documentation for preparation of estate planning strategies and plans
Track deadlines for important filings, client updates, and ensure all documentation is filed on time and accurately
Communicate directly with clients to ensure timely collection of forms, information, and signatures where needed
Maintain organized and up-to-date client records within case management systems and physical files
Assist with trust administration, including preparing legal correspondence and communicating with trustees and beneficiaries
Conduct legal research related to estate planning issues and provide summaries to attorneys
Manage follow-up with clients regarding estate planning changes, amendments, or updates
Ensure compliance with state and federal regulations in estate planning documentation and filings
Requirements:
Associate degree or higher preferred
Paralegal certification is a plus
Minimum of 2-3 years of experience as a legal assistant, ideally in estate planning, probate, or trust administration
Experience drafting estate planning documents and managing sensitive client information
Proficiency in legal software and case management systems
Exceptional organizational skills and attention to detail
Strong written and verbal communication skills, with detail oriented client interaction experience
Ability to multitask and prioritize effectively in a fast-paced environment
High level of discretion and confidentiality in dealing with client-sensitive information
Nice to have:
Familiarity with tax implications and reporting related to estate planning
Knowledge of local and state requirements for estate planning and probate matters
Experience working directly with trustees, executors, and beneficiaries
