Job Description

You will be in charge of the entire bouquet of Property Management Services provided at the site. Your role will be to ensure smooth operations at the facility/site by enhancing efficiency using innovation and technology.

Job Responsibility

  • Ensure smooth operations at the facility/site by enhancing efficiency using innovation and technology
  • Ensure manpower at the site is enabled to face challenges by guiding, grooming, developing and supporting them
  • Formulate suitable budgeting controls and Monitor SLA's & KPI's for JLL and outsourced agencies
  • Maintain service level agreements and keep performance indicator scores above excellence
  • Ensure timely renewal of the agreement, submission of invoices and follow-ups for payments
  • Oversee all vendor quotations and invoices
  • Ensure proper signoffs for attendance and all required details for cost sheet submission
  • Ensure timely submission of client approved cost sheet to JLL office and follow up for invoice
  • Ensure accuracy of billing information
  • Manpower planning for the site
  • Conduct daily site rounds to ensure proper maintenance of all structures/building facilities and services
  • Ensure proper teamwork for all the facilities
  • Assist client SPOC in creating annual budget for site operations and formulating strategies for effective management
  • Review and ensure data (hard and soft copy)/e-mails/client files are updated
  • Deal with occupants' queries in verbal/written form
  • Ensure robust complaint management process is in place and is followed meticulously
  • Communicate and circulate information to occupants' authorities on operational complications
  • Ensure health and life safety regulations/manuals are adhered on site
  • Ensure all risk assessment recommendations are implemented and enforced for compliances
  • Create business continuity plans
  • Resolve emergency maintenance matters with urgency
  • Maintain exemplary relationship management with projects, consultants, contractors, govt. authorities, statutory agencies
  • Create and submit the daily management report (DMR) and the monthly management reports (MMR)
  • Coordinate and maintain the as-built drawing and transition document library
  • Work closely with the regional RO/HO/SME/Training teams and ensure closures of all required reports
  • Facilitate the services under the Slogan 'No Safety No Work'

Requirements

  • Degree/Diploma in Electrical/Mechanical/Civil/Marine Engineering OR equivalent
  • Minimum 7 to 8 years work experience in Facility Industry/Real Estate/Hotel or Construction Industry
  • For residential sites, residential experience preferred
  • Understanding and managing people dynamics
  • Keen eye for detail
  • Excellent problem-solving skills
  • Being Analytical and Meticulous

  • Review and negotiate contracts for acquisition (in conjunction with in-house legal team)
  • Help identify possible roadblocks to closing in specific locations (city, county, state jurisdictions)
  • Asset Management: Work with on-site property mangers in locations with larger assets to maintain the building standards and keep building
  • Assess and make recommendations on the asset's rent rolls, CAMs, expenses, vendor agreements, leases
  • Develop an annual capital improvement budget for each asset
  • Asset Management: Work with in-house finance team to develop an annual business plan for each asset
  • Identify, obtain bids and recommend contractors to handle maintenance and capital improvements
