We're happy to offer you an exciting opportunity to join us as a Estate & Facilities Coordinator. This is a full time, permanent position located in London at our Liverpool Street office.
Job Responsibility
Support daily operations including inbox management, supplier coordination, compliance requirements, regional stakeholder engagement, and general account management
Act as a first point of contact for inbound queries, assisting colleagues and suppliers with estate-related matters including repairs, maintenance, and key premises dates/events
Work closely with the Finance team to manage estate costs, track billing, resolve disputes, and address historical accounting issues (particularly utilities)
Maintain strong communication with regional brands, ensuring accurate reporting and sharing of key information, policy updates, and legislative changes
Keep accurate and up-to-date records on the CRM system, ensuring key dates and activities are logged and managed effectively
Support ESG (Environmental, Social, Governance) initiatives by tracking and reporting relevant activities to maintain accurate scoring and promote sustainable estate practices
Assist with M&A activity, including reviewing compliance documentation and supporting the seamless integration of new acquisitions into the corporate structure
Requirements
Excellent communicator with strong interpersonal skills
Efficient time management ability and proven track record of a multifaceted role
Experience dealing with varied stakeholders, both internally and externally
Familiarity following protocol, procedure, compliance, and a host of varying workflows
Ability to problem solve and work collaboratively as part of a team
An eye for detail, with an ability to think laterally and problem solve
Experience managing suppliers, ensuring service provision is carefully monitored
Familiarity with Microsoft office functions
