We are looking for a detail-oriented Escrow Administrative Assistant to support our client in Fairfax, Virginia. This role is ideal for a motivated individual with strong organizational skills who thrives in a fast-paced environment. You will play a vital role in ensuring transactions run smoothly by managing documentation, coordinating communication, and maintaining accurate records.

Job Responsibility:

  • Collaborate with clients, lenders, brokers, and internal teams to collect and verify required documentation for escrow transactions
  • Monitor transaction timelines, ensuring all deadlines are met and processes remain on track
  • Maintain organized and accurate records, updating internal systems as necessary
  • Deliver exceptional service by acting as a liaison between parties and addressing inquiries promptly
  • Assist the commercial escrow team with administrative tasks, including document preparation and file management
  • Coordinate appointments and schedules to facilitate seamless communication among stakeholders
  • Answer multi-line phone systems and manage correspondence effectively
  • Track and follow up on deadlines to ensure compliance with state-specific requirements
  • Support the team with problem-solving and issue resolution related to escrow transactions

Requirements:

  • Previous administrative experience in title, escrow, or real estate is required
  • Proficiency in Microsoft Office applications
  • Experience with SoftPro Select is preferred
  • Ability to handle multiple tasks simultaneously and prioritize workload effectively
  • Familiarity with state-specific escrow and real estate regulations
  • Strong organizational skills with exceptional attention to detail
  • Effective communication and interpersonal skills for working with diverse stakeholders
