Job Description

Are you proactive, organised, and confident juggling multiple tasks in a fast-paced environment? We are looking for a Scheduling Coordinator to join our Engineering Service Scheduling and Equipment Installations team, providing administrative and customer service support to our portfolio of dental customers. This varied role involves managing customer expectations, coordinating with internal departments, and ensuring our dental engineers and equipment requests are scheduled efficiently. No two days are the same, so attention to detail, strong communication skills, and enjoyment of collaborative working are essential. You will support engineering service scheduling and equipment installation coordination, handling customer enquiries, scheduling maintenance, raising breakdown cases, managing inboxes, and ensuring all systems and customer information are maintained. You’ll play a central role in keeping our operations running smoothly and ensuring timely, high-quality service for customers.

Job Responsibility

  • Answer emails and inbound/outbound calls from dental customers and suppliers, resolving engineering support queries and actioning equipment requests
  • Provide efficient time and geographical management of engineers’ scheduling diaries
  • Schedule planned maintenance service work to ensure customer equipment is compliant with manufacturer standards
  • Liaise with internal teams to arrange deliveries and installations of dental equipment
  • Assist with invoicing processes, ensuring quotations are raised efficiently and resolving key client issues or complaints
  • Manage multiple inboxes, provide timelines to customers, and maintain accurate information across multiple systems
  • Work commercially toward service group KPI targets (revenue, breakdown attendance, customer communication)
  • Act as the first point of contact for engineering support via incoming phone calls
  • Raise breakdown cases on Microsoft CRM Field One, assign to engineers, keep customers updated, and follow enquiries through to conclusion
  • Build strong customer and supplier relationships, ensuring quality care and satisfaction
  • Respond knowledgeably to customer questions about our product and service offering
  • Ensure customers receive all documentation and reports following engineer visits to maintain compliance for inspection visits
