This role is responsible for the meticulous planning, execution, and reporting of various functional, leadership, and site-wide events, with a specific focus on night shift employee engagement. The Functional Specialist ensures seamless logistical coordination, effective stakeholder communication, and consistent branding across all initiatives.
Job Responsibility
Organize and execute high-impact functional team-building activities to foster strong team cohesion and morale
Plan and manage critical functional leadership events, including All Hands meetings and Line of Business (LOB) parties, ensuring alignment with organizational goals and leadership vision
Strategically plan and execute site-wide events and initiatives designed specifically to engage and recognize night shift employees, addressing their unique needs and schedules
Manage end-to-end logistics for all events, including venue selection, contract negotiation, and setup
Coordinate all Audio/Visual (AV) requirements, technical setups, and staging to ensure seamless event delivery
Ensure smooth execution by managing vendors, timelines, and on-site operations
Align and consult with functional leadership to understand event objectives and secure necessary support
Manage speaker logistics, including scheduling, preparation, dry runs, and day-of facilitation
Facilitate event sessions as required to ensure a professional and engaging experience for participants
Collaborate closely with the Internal Communications team to develop compelling event messaging and ensure brand consistency across all materials (signage, presentations, internal channels)
Develop and execute event promotion strategies to maximize awareness and attendance, ensuring clear and timely communication before, during, and after each event
Collect and analyze post-event feedback (surveys, attendance data) to measure success and identify areas for improvement
Publish comprehensive event summaries and newsletters to document outcomes, share key takeaways, and celebrate achievements
Collaborate with functional leads to align event and engagement strategies with broader organizational goals and priorities
Provide backup and dedicated support to the Site Event Specialist for large-scale, site-wide initiatives
Offer event coverage and assistance as needed to ensure smooth execution of all major organizational events
Requirements
Proven experience in corporate event planning and execution, ideally within a large organization
Demonstrated ability to manage complex logistics (AV, venue, vendor management)
Exceptional communication, presentation, and stakeholder management skills
Ability to work independently and manage multiple projects simultaneously under tight deadlines
Experience in developing internal communications and branding strategies for events
Flexibility to support and manage night shift events and work outside standard business hours as required
