GSK is looking to hire an Engagement Operations Specialist to join our Customer Excellence Team. This role is hybrid, with an expectation to work from our Mississauga office 2–3 days per week, and reports directly to the Customer Excellence Director. The ideal candidate will reside in or near Mississauga, Ontario. As an Engagement Operations Specialist, you will be responsible for supporting the end-to-end coordination of Medical Education programs, Advisory Boards, Consultancies, and other learning opportunities involving external Healthcare Professionals (HCPs), Healthcare Organizations (HCOs), and external experts in alignment with GSK processes and policies. You will work closely with the sales team to onboard new HCPs and HCOs into GSK systems, ensuring a seamless and positive engagement experience. You will manage and coordinate each engagement through a compliance-driven process, including preparing and distributing all required documentation such as contracts, Conflict of Interest (COI), Transfer of Value (TOV), and banking forms necessary for execution. Your ability to demonstrate strong organizational skills, customer focus, collaboration, and attention to detail will be critical to success. You will collaborate closely with internal and external stakeholders to support compliant, efficient, and well-executed engagements while upholding GSK’s core values of Transparency, Integrity, and Patient Focus.
Job Responsibility
Act as the single point of contact for External Experts, HCPs, and HCOs throughout the full engagement lifecycle, ensuring compliance with company policies, applicable laws, and industry codes
Draft and manage contracts using approved templates and liaise with business owners and external stakeholders to finalize agreements aligned with GSK’s ethical and legal standards
Support the business with budget estimates for activity-based planning, including expert fees, travel, accommodation, meals, logistics, and transportation
Serve as the central point of contact for internal and external stakeholders during engagement and event delivery
Initiate and manage payment processes, including purchase orders and invoices, ensuring completion through to final payment
Maintain documentation in accordance with compliance and retention standards to support audit readiness
Contribute to process improvement and harmonization initiatives by sharing learnings and adopting best practices
Support onboarding activities for HCPs and HCOs within GSK systems to ensure a seamless engagement experience
Collaborate cross-functionally with internal stakeholders to ensure timely execution of educational and engagement activities
Requirements
Graduate or equivalent degree in life sciences, business, healthcare, or a related field preferred
or up to 2 years of relevant experience
Strong communication and stakeholder management skills
High attention to detail and strong organizational abilities
Ability to manage multiple tasks and priorities in a fast-paced environment
Willingness to learn contract processes and regulatory/compliance requirements
Comfortable working with budgets, invoices, and basic financial reconciliation
Demonstrated integrity, confidentiality, and commitment to ethical standards
Basic analytical skills for budget tracking and data quality checks
