We are looking for a detail-oriented and customer-focused Engagement Coordinator to oversee the planning and execution of diverse corporate events. This contract position is based in Richmond, Virginia, and involves coordinating gatherings ranging from intimate meetings to large-scale events with up to 1,200 attendees. The ideal candidate thrives in a dynamic environment, excels in client-facing roles, and demonstrates exceptional organizational skills.
Job Responsibility:
Plan and coordinate logistics for events of varying sizes, including executive meetings and large corporate functions
Develop and manage event timelines, ensuring all deadlines and deliverables are met
Communicate effectively with vendors to arrange services and negotiate contracts
Utilize platforms such as Salesforce, Amadeus, Excel, and Office to track event details and maintain organized records
Support onsite event operations by collaborating with internal teams and ensuring seamless execution
Handle administrative tasks associated with event planning, including scheduling and documentation
Maintain a composed demeanor and appearance while representing the organization in client-facing situations
Identify and resolve challenges promptly to ensure high-quality event experiences
Build positive relationships with clients, vendors, and stakeholders to enhance engagement
Ensure compliance with organizational policies and event standards
Requirements:
At least 1 year of experience in event planning or coordination
Proven ability to manage multiple tasks and deadlines while maintaining attention to detail
Strong customer service skills with a focus on creating positive client experiences
Excellent verbal and written communication skills to interact professionally with diverse audiences
Proficiency in Salesforce, Amadeus, Excel, and Microsoft Office applications
Demonstrated ability to collaborate effectively with vendors and internal teams
