In this essential role, you will align workforce capacity with operational demand, playing a key part in maintaining seamless day-to-day operations. As an Employee Scheduler, you will be responsible for managing the casual and floater employee workforce, ensuring cost-effective and optimal workforce utilization across multiple communities. You will serve as a vital support system for leadership teams, managing workforce planning, shift alignment, and strategic staff redeployment.

Job Responsibility

  • Comprehend workforce requirements, job roles, and staffing structures across all community environments
  • Study schedules and staffing requests to ascertain precise daily and weekly workforce requirements
  • Interface with leadership teams to understand specific facility requirements and adjust shift schedules as needed
  • Receive, process, and track vacation, sick leave, and other absence requests to arrange seamless employee schedules
  • Consider the extreme time sensitivity of requests to maintain safe, efficient, and uninterrupted site operations
  • Examine employee availability, classifications, and skill sets to align workforce assignments with unique site demands
  • Confirm shifts with personnel to ensure all vacancies are actively filled with the right employees across all locations
  • Monitor vacant shifts and strategically build out casual and floater rotations, prioritizing casual staff before part-time coverage
  • Record, determine, and assign work duties while considering employee seniority, availability, shift length, and qualifications
  • Collect, monitor, and assess scheduling data to identify trend lines, absence patterns, or operational areas of concern
  • Produce detailed quarterly reports regarding overall shift coverage, scheduling metrics, and performance indicators
  • Alter schedules rapidly to meet emergencies caused by extended leaves or sudden spikes in workforce demand while actively minimizing overtime
  • Act as a Subject Matter Expert (SME) for the HRIS system scheduling module, supporting system testing, updates, and new builds
  • Deliver system training, troubleshooting support, and user guide documentation to supervisors, managers, and casual staff
  • Participate in employee resource working groups, providing data to inform broader human resources, recruitment, and onboarding priorities

Requirements

  • Minimum of two (2) years of direct experience with automated employee scheduling or workforce planning
  • Post-secondary diploma in Business Administration, Office Administration, Human Resources, or an equivalent combination of education and experience
  • Working knowledge of Alberta Employment Standards and basic labour regulations is highly desirable
  • High computer proficiency with MS Office applications, including intermediate to advanced skills in Microsoft Excel and Word
  • Previous hands-on experience utilizing electronic scheduling systems or complex HRIS database modules
  • Proven experience as a self-starter who can confidently work independently under minimal day-to-day supervision
  • Must possess reliable transportation and a valid driver's license, as occasional travel within the Calgary region is required
  • Flexibility to occasionally support evening or weekend scheduling updates during critical operational emergencies

Nice to have

Working knowledge of Alberta Employment Standards and basic labour regulations is highly desirable
