Job Description

An exciting opportunity has arisen for a Professional Assistant to join the dynamic Employee Experience (EX) team based in Lisbon. This person will be responsible for providing full administrative support to allocated senior leaders across Europe and the wider team as required. The successful applicant will be experienced with complex diary management and working in a fast-paced environment.

Job Responsibility

  • Supporting a team of senior leaders with their day to day activities including complex diary management (both internal and client facing meetings), travel arrangements and expenses
  • Diary management, meeting coordination, travel arrangement and expenses for the wider team as required
  • Assisting with the preparation of WTW client legal documentation and other documents as required including formatting and proofreading in Word, Excel, and PowerPoint in accordance with the WTW brand
  • Assisting consultants with financial management of client projects
  • Ensuring clients’ queries are responded to in a timely matter, demonstrating the highest standards of excellence
  • Supporting consultants to adhere to excellence standards around records management to achieve a ‘green light’ audit
  • Updating client databases on behalf of consultants
  • Dynamics and COMET
  • Building effective working relationships with the European Business Support Team, consultants and stakeholders

Requirements

  • Proven experience in complex diary management
  • Experience in supporting senior management level, within a large corporate environment
  • Excellent IT skills including Word, Excel, Outlook and PowerPoint
  • Proficiency in both English and Spanish, with the ability to communicate effectively in a professional setting
  • Excellent time management and organisational skills
  • Appetite for learning and applying WTW financial acumen
  • Able to work independently using initiative whilst part of the wider European Business Support team
  • Proactive problem solver
  • Demonstrate attention to detail, with high level focus on quality
  • The ability to handle sensitive information in an appropriate manner
