In this position, you will perform business unit centered space management functions for Entertainment and Product + Technology. In addition, you will work on initiatives across other offices via partnerships with team members at those offices, with occasional travel possible (less than 1%). You will be a self-starter and will work closely and collaboratively with internal stakeholders across the DE&E Technology Team as well as with partner organizations such as Security, Safety, Enterprise Tech, HR, and Corporate Real Estate. The ideal candidate is a self-starter with strong communication and organization skills, excellent attention to detail and accuracy, and ability to concurrently manage multiple workstreams and projects.
Job Responsibility
Office / seat planning and execution in partnership with Senior Manager, Workplace Experience
Daily management and care of Entertainment & Product + Technology spaces and team member needs as they pertain to the physical office space (i.e. conference rooms, kitchens, furniture, common spaces, signage updates, overarching technologies needed within the space)
Inventory and restock supplies, snacks, drinks, etc. as needed. May assist with ordering. May require lifting boxes, items or equipment up to 50lbs
Process expense reports as needed
2-way communication with the team members at assigned location including compiling internal communications such as written memos & help to maintain process documentation
1st line of contact for onsite team members
Identification of opportunities for improvement and increased efficiency
Serve as a business partner to internal key stakeholders across our DE&ET organization as pertaining to space management of the assigned space
Partnership with security on team member access to facilities
Partnership with teams and HR on equipment and seating needs for new hires
Location data and records validation / upkeep
Supporting location projects as needed
Assist with planning & executing special events including special holiday projects and team building events
Assisting in preparing for major meetings, all hands, and training sessions
Drive human centered touch points & resources in an ever-evolving ecosystem for everything work-space related that impacts our employees' ability to do their best work and get the most out of our in-office workspace
Requirements
Minimum of 1-2 years of space management experience preferred
Excellent computer proficiency, particularly with Microsoft Office (Outlook, Word, Excel, PowerPoint), and ability to learn new software
Highly effective communicator, both verbally and written
Ability to navigate a matrixed organization and a global network of internal and external partners
Comfortable working in a fast-paced and dynamic working environment, supporting new products and businesses
Ability to work with the highest degree of confidentiality – exercising discretion, judgment and diplomacy
Highly collaborative mind-set
Exceptional interpersonal skills and partnering capabilities with the ability to develop strong working relationships

Serve as main contact point and owner in many cases for local team member questions, IT, AV, First Aid & Fire / Safety, security, parking, team member onboarding / offboarding, landlord communications
Inventorying, ordering, and stocking of pantry / kitchen items (including snacks and drinks) as well as office supplies
Ensure issue resolution in a timely manner for HVAC concerns, furniture issues, cleaning, and plants
