Job Description:

We are looking for a dedicated Documentation Specialist to join our team in Norwalk, Connecticut. In this contract to permanent position, you will play a vital role in ensuring accurate and timely preparation and submission of shipment documentation. This role is ideal for someone with strong organizational skills and a passion for providing exceptional customer service within the shipping industry.

Job Responsibility:

  • Prepare, issue, and collect documentation required for the exportation of cargo, ensuring accuracy and compliance with shipment deadlines
  • Review all shipment-related paperwork to identify potential issues, changes in schedules, rates, and handling requirements
  • Communicate proactively with customers and stakeholders to anticipate and address documentation changes or updates
  • Generate invoices for services rendered, ensuring they are accurate and meet regulatory and company standards
  • Track and monitor shipments, providing updates until cargo is successfully delivered to its final destination
  • Maintain up-to-date records and documentation for all shipments, adhering to established procedures
  • Collaborate with logistics teams to ensure smooth and efficient handling of cargo
  • Provide exceptional customer service by promptly resolving documentation concerns and keeping all parties informed
  • Ensure compliance with shipping regulations and internal processes at all times

Requirements:

  • Proficiency in data entry with exceptional attention to detail
  • Strong computer skills, including familiarity with documentation and logistics software
  • Excellent customer service abilities, with a focus on clear communication and problem-solving
  • Knowledge of logistics and shipping processes, including export documentation
  • Experience in office administration and organizational tasks
  • Ability to work efficiently under tight deadlines and manage multiple priorities
  • Familiarity with invoicing procedures and compliance standards
  • Previous experience in a similar role within the shipping or logistics industry preferred
