Our client, a major national legal firm, is looking to hire a Remote Document Specialist. To note, there are five different positions available with the following schedules: Friday to Sunday 9:00 a.m. to 9:00 p.m. ET (Bilingualism (English/French) required); Monday to Friday 4:00 p.m. to 12:00 a.m. ET (Bilingualism (English/French) required); Monday to Friday 6:00 p.m. to 2:00 a.m. ET (Bilingualism (English/French) required); Sunday to Thursday 4:00 p.m. to 12:00 a.m. ET (Bilingualism (English/French) required); Tuesday to Saturday 12:00 a.m. to 8:00 a.m. ET (Bilingualism (English/French) is an asset)
Job Responsibility:
Document Production: Create and format complex legal and professional documents via copy typing, digital transcription, and scanning
Quality Assurance: Proofread documents for formatting, grammar, and clarity
Technical Support: Provide Firm-wide support for document production using Microsoft applications
Workflow Management: Proactively manage workload fluctuations with minimal supervision
Problem Solving & Tracking: Document, log, track, and respond to calls, emails, voicemail, and drop-bys for document support
Collaboration & Mentorship: Work cooperatively across all departments and individuals within the Firm
Compliance & Procedures: Develop an understanding and working knowledge of the Firm’s procedures for the production of documents
Requirements:
College certificate (office administration, legal specialization, or related)
Three years of experience in a professional work environment
Advanced proficiency in Microsoft Suite (Outlook, Word, Excel, PowerPoint)
Ability to type with a speed of 80-100 words per minute
Bilingualism (French and English) is required
Nice to have:
Experience in a document production role will be an asset
Knowledge of legal terminology, documents and procedures an asset
Excellent interpersonal skills and telephone manners
Ability to transfer knowledge
Patience, flexibility
Well organized with meticulous attention to detail and strong proof-reading skills
Personable, approachable disposition
Well-developed analytical and problem-solving skills
Capability to adapt to different work schedules
Confident in working independently
Availability to attend occasional in-office meetings in downtown Montreal
