The Document Controller is responsible for managing, organizing, and maintaining all project documentation throughout the project lifecycle. This role ensures that project files are accurately captured, stored, updated, and distributed in accordance with company standards and project requirements. The ideal candidate will have strong attention to detail, experience with Electronic Document Management Systems (EDMS), and a solid understanding of project documentation processes.
Job Responsibility:
Maintain and manage all project files, including technical documents, correspondence, approvals, and records
Establish and uphold document control standards, procedures, and metadata requirements
Ensure all documents are properly formatted, reviewed, approved, and stored according to project workflows
Develop, maintain, and update document registers to track document status, revisions, and approvals
Monitor submission deadlines and ensure timely delivery of project deliverables
Ensure traceability and referential integrity across all project documentation
Use and support Electronic Document Management Systems (EDMS) for document distribution, version control, and archival
Troubleshoot common issues and support project teams in navigating EDMS tools and workflows
Recommend improvements to document management processes and tools
Assist project teams with assembling engineering, procurement, and construction packages
Prepare transmittals, compilations, and deliverable sets based on project requirements
Coordinate and manage signature loops—including routing, tracking, and ensuring timely completion of approvals
Perform quality checks on documents to ensure accuracy, completeness, and adherence to templates and standards
Implement document control best practices to support audit readiness and contractual or regulatory requirements
Ensure consistent naming conventions, folder structures, and indexing across all project files
Requirements:
Bachelor's degree or commensurate professional experience in document control, project administration, or a related field
Demonstrated understanding of project documentation processes within engineering, construction, manufacturing, or similar project-driven environments
Experience working in an EDMS platform (e.g., Aconex, SharePoint, Documentum, Procore, ProjectWise, etc.)
Strong organizational and time-management skills with high attention to detail
Ability to manage multiple priorities and deadlines in a fast-paced environment
Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
Nice to have:
Familiarity with engineering and construction documentation terminology (preferred)
