We are seeking a Document Controller to support a leave of absence for our client for a couple of weeks, possibly ongoing, onsite in Honolulu. This position is responsible for overseeing all aspects of project documentation and ensuring effective electronic document control using two digital systems. You may or may not handle phones in this position, however, it is mostly typing and back-office work.
Job Responsibility:
Apply consistent and proper electronic document archiving procedures across all assigned projects
Develop, organize, and maintain comprehensive project files and records
Follow mandated file naming conventions and ensure accurate digital folder structure organization
Assist project teams and consultant staff in retrieving required documents from the electronic file archives
Conduct quality control checks to ensure digital files are complete, legible, properly oriented, accurately named, and archived appropriately
Scan and convert physical documents to digital format, saving files in the designated locations according to provided file structures
Take ownership for maintaining all project as-built drawings, design drawings, standard drawings, and contract close-out documents, adhering to client and company policies
Coordinate with internal teams, contractors, consultants, and IT staff to support the project close-out process and assist with transitioning documents from the project management system to the final digital repository
Perform additional assignments or administrative support tasks as directed by project leadership
Requirements:
Previous experience in electronic document control, preferably within construction, engineering, or technical project environments
Familiarity with electronic document management systems (EDMS) and document archiving standards
Excellent organizational skills and attention to detail
Proficiency with scanning equipment and digital document management
Strong written and verbal communication skills
Ability to maintain confidentiality and uphold document integrity standards
Proven experience in document control or related field
Proficiency in scanning and digitizing documents using modern tools and software
Strong organizational skills with the ability to manage large volumes of files
Familiarity with document management systems and related technologies
Attention to detail with a focus on accuracy and completeness
Excellent communication and interpersonal skills for collaborating with teams
Ability to prioritize tasks and meet deadlines in a fast-paced environment
Knowledge of confidentiality practices and data protection protocols
