Job Description

A growing construction company is seeking a highly organized and detail-driven Document Controller to oversee and manage all project and operational documentation. This role is ideal for someone with an “OCD-level” attention to detail who thrives on structure, accuracy, and process improvement. The position will support administrative operations, office management functions, and employee onboarding while ensuring all documentation is properly maintained, tracked, and audit-ready. The role is based in Tulsa, with regular commuting to Muskogee required.

Job Responsibility

  • Maintain, organize, and control all project and company documentation (digital and physical files)
  • Ensure accurate version control and proper distribution of contracts, permits, compliance documents, and job files
  • Support onboarding processes, including preparing new hire documentation and maintaining personnel records
  • Oversee administrative office functions to ensure smooth day-to-day operations
  • Track and manage documentation related to job costs, purchasing, and invoicing
  • Coordinate with project managers and field teams to collect and file required documentation
  • Develop and maintain efficient filing systems and document workflows
  • Assist leadership with reporting, compliance tracking, and special projects as needed

Requirements

  • Strong administrative and office management experience, preferably in construction or a blue-collar environment
  • Exceptional attention to detail with the ability to spot discrepancies quickly
  • Advanced proficiency in Microsoft Excel (required)
  • Experience with Google Docs/Google Workspace (a plus)
  • Experience managing onboarding paperwork and compliance documentation preferred
  • Ability to multitask while maintaining a high degree of accuracy
  • Strong communication skills and a proactive, team-oriented mindset
  • Reliable transportation and ability to commute to Muskogee as needed
  • Must be able to pass a background check and drug screen
