The Document Controller manages and maintains accurate document control systems throughout project lifecycles, ensuring proper document flow, version control, and compliance with company standards and regulatory requirements while supporting project teams with timely access to current documentation.
Job Responsibility:
Establish and maintain comprehensive document control systems and procedures according to company standards
Manage document numbering, coding, filing systems, and revision control with proper version tracking
Maintain master document registers and databases with accurate status updates and distribution tracking
Process document transmittals, submissions, and correspondence between project stakeholders
Review documents for completeness, accuracy, and compliance with project specifications and quality standards
Coordinate document reviews and approvals through established workflows and track completion
Interface with project teams, contractors, consultants, and clients regarding document requirements
Prepare and distribute document status reports and facilitate document review meetings
Maintain audit trails and support internal and external audits with requested documentation
Archive completed project documentation according to company retention policies
Provide training and support to team members on document control procedures
Requirements:
diploma or equivalent
3+ years of experience in document control, or related administrative role
Experience with industry-specific document management systems and ISO standards
Strong attention to detail, organizational skills, and accuracy
Excellent written and verbal communication abilities
Understanding of quality management principles and document control standards
