The Document Control Advisor is responsible for leading the establishment, maintenance, and oversight of robust document management frameworks. This role ensures that all project information is accurate, secure, and easily accessible, providing expert advice to stakeholders to maintain version control and compliance. The Advisor plays a critical role in mitigating project risk by ensuring "one source of truth" across the organisation’s digital and physical assets.
Job Responsibility:
Oversee the Electronic Document and Records Management System to ensure integrity, security, and optimal configuration
Lead the quality review process for all project deliverable, ensuring adherence to corporate styles, naming conventions, and metadata standards
Identify gaps in current documentation workflows and develop streamlined procedures to enhance efficiency and compliance
Provide high-level technical advice to project teams and conduct training sessions to uplift the organisation’s document control capabilities
Perform regular audits of project folders and registers to ensure alignment with legislative requirements and internal governance frameworks
Manage the formal review, approval, and distribution cycle of highly complex project artefacts and technical documentation
Act as the primary point of contact for internal and external stakeholders regarding document retrieval, archival processes, and reporting
Requirements:
Extensive experience in managing complex documentation life cycles, including version control, metadata management, and archival standards within a project environment
Proven ability to evaluate existing workflows, identify technical or procedural bottlenecks, and implement effective document management solutions
Demonstrated ability to provide expert advice to diverse stakeholders and influence team members to adopt and maintain standardised documentation practices
