Job Description

The District Sales Coordinator supports resort sales operations by assisting prospective and current residents, coordinating home showings, and facilitating the sales and leasing process. This role provides administrative and marketing support, including preparing sales materials, managing leads, maintaining records, and coordinating closings and lease documentation. The coordinator works closely with sales and resort management teams to ensure smooth day-to-day operations, enhance the customer experience, and support the successful marketing and sale of new and pre-owned homes across the district.

Job Responsibility

  • Greets and establishes rapport with guests, current and prospective residents
  • Provides prospects with appropriate information regarding the resort as requested
  • Performs general administrative functions such as answering phones, typing, copying, faxing, filing, and other duties as assigned
  • Assists with the preparation of marketing materials including brochures and flyers that pertain to homes for sale (new, pre-owned, and brokered homes), resort events, and other related materials as directed by their manager
  • Reviews new and pre-owned home listings, shows homes to prospective residents, and assists with rental applications at the discretion of the Resort/Sales Manager or Sales Supervisor
  • Shows prospective buyers new, pre-owned and brokered homes for sale in the district
  • Coordinates and manages the Lease Purchase Program (LPP), including submitting service requests and following up on repairs, leasing, renewals and LPP sale conversions
  • Refers all sales prospects to Resort/Sales Manager or Sales Supervisor, completes prospect card, and enters lead into NetSuite in a timely manner
  • Coordinates with the Underwriting department to obtain approvals on prospective resident applicants
  • tracks all approvals and denials
  • Reviews and codes invoices and statements for Resort/Sales Manager or Sales Supervisor approval
  • Handles and resolves resident/customer routine questions and inquires in a timely and professional manner
  • Fields comments, suggestions, and complex situations to the appropriate manager
  • Ensures office supplies are sufficiently stocked and prepares supply orders as needed
  • Prepares and prints communications such as lease agreements, addendums to lease agreements, and notices to vacate as necessary
  • Assists with planning and coordinating resident relations events and activities within the resort
  • Completes new move-in incentive requests for non-Sun Homes deals
  • Collaborates with Resort Managers to select and prepare model home sites while coordinating open house planning
  • Inspects and recommends the purchase of pre-owned or repossessed homes
  • Requests closing packages and perform closings
  • Coordinates model presentation (i.e. repairs, warranty work, cleaning, furniture)
  • Assists prospective residents by checking the status of Sun Homes inventory
  • Advertises and markets homes for sale in the district
  • Other duties as assigned

Requirements

  • High School Diploma or GED (Required)
  • 1 year in in a sales coordinator or in other administrative position (Required)
  • Must have a valid driver's license
  • Excellent problem solving skills
  • Excellent written and verbal communication skills
  • Strong customer service skills
  • Intermediate to advanced computer proficiency with the ability to use the Microsoft Office Suite, email, internet, and provide data entry in a timely and efficient manner
