We are looking for a skilled Dispatcher to join our team in Guadalupe, California. In this Contract to permanent position, you will play a vital role in coordinating schedules, managing communications, and ensuring smooth operations. The ideal candidate is organized, detail-oriented, and adept at multitasking in a fast-paced environment.
Job Responsibility:
Coordinate and manage daily schedules to ensure timely job assignments and smooth operations
Utilize QuickBooks for invoicing, payment tracking, and maintaining accurate financial records
Prepare and update documentation and reports using Microsoft Excel and other Office Suite tools
Handle incoming calls professionally, addressing inquiries and relaying messages to the appropriate personnel
Maintain accurate and organized records of schedules, client requests, and operational activities
Act as the communication link between clients, internal staff, and field crews to ensure seamless workflows
Collaborate with field teams to confirm availability and resolve any scheduling conflicts
Communicate scheduling changes promptly to all relevant parties, prioritizing client satisfaction
Monitor and troubleshoot operational challenges, ensuring resolutions are timely and effective
Requirements:
Demonstrated experience in dispatching, scheduling, or related administrative roles
Proficiency in QuickBooks and Microsoft Office Suite, including Excel, Word, and Outlook
Strong organizational skills with the ability to manage multiple tasks and details effectively
Ability to handle challenges calmly and troubleshoot problems efficiently under pressure
Excellent communication skills, both verbal and written, to interact professionally with clients and staff
Dependable and able to work independently while contributing to team success
Detail-oriented with a commitment to accuracy in all aspects of the role
