The Director of Conference Planning will be responsible for executing the day-to-day functions of the conferencecenter meetings, including management of conference service staff, audio visual staff and interaction with client groups.
Job Responsibility:
Manages assigned meetings with introductory calls, follow up with clients, coordination of details, and completion of accurate Event Orders on a timely basis
Develops assignment sheets, planning checklists and acts as senior liaison between conference planning, sales, the client and operations
Personally meets all clients upon arrival to finalize any arrangements and to orient the client to the facility and staff
Ensures constant client communication to ensure a successful program
Ensures billing is correct before sent to client
Handles client billing questions efficiently and expediently
Ensures contract and BEO terms are executed according to plan and all fees charged accordingly
Prepares and submits for approval any purchase orders and invoices to be paid
Responsible for overall Profit & Loss statement of conference services division representing both revenue and cost segments and reporting on financial results and developing solutions to meet budgeted goals
Conducts tours of the property to client and outside vendors
Works with operating department managers to ensure client needs are met
Prepares annual performance reviews for team members, develops coaching and goals for success for all colleagues
Supervises Conference Planning Manager/Audio Visual and set up staff
Maintain and update policies, procedures and contingency plans
Act as liaison for the conference center with vendors and client to ensure that the terms of maintenance agreements are followed by all concerned
Projects and additional duties as assigned
Requirements:
Minimum of one year experience in event planning or meeting planning
Planning, organizing and effective time management skills
Experience with computer applications including but not limited to: Microsoft Office, Delphi, Opera or other property management systems
Other experience with sales based CRM applications
Professional appearance and demeanor
Ability to work effectively under pressure and meet established goals & objectives
Able to work event based hours, including nights and weekends
