Job Description:

The Director of Grants Management Systems is responsible for the development, administration, and continued implementation of United Way’s grants management system. Primary uses of the platform include the management of United Way investments in community agencies including through requests for proposal and ongoing management of program reporting processes following award as well as individual scholarship application and award processes. The role collaborates with staff and other stakeholders in several United Way departments including Community Impact, Strategic Initiatives, Community Services, and Resource Development. The Director of Grants Management Systems provides support both internally to staff in funding process design and system implementation as well as externally to community agency staff and community members to navigate the platform successfully. This includes ensuring agencies and community members can navigate the platform, prepare and submit applications, and report on progress. The role requires effective blending of the technical skillset necessary for the ongoing management of the grants management platform with the ability to translate process and content requirements from stakeholders into the system. The role is embedded in the Impact Data Team and reports to United Way’s Impact Data Officer.

Job Responsibility:

  • Primary owner, administrator, and process coach on the United Way grants management platform
  • Serves as subject matter expert on the grants management platform used to implement United Way investment and reporting processes (currently e-CImpact by Seabrooks)
  • Manages the full lifecycle of investment application processes in the grants management platform across United Way Departments
  • Consultant and thought partner to internal stakeholders in the design of investment processes
  • Implementation lead of all necessary investment process elements
  • Provider of training and support to platform users, both internally and externally
  • Process Manager active award periods
  • Lead on archiving and preservation of past processes and related data
  • Creates additional reporting mechanisms for programmatic data collection as needed both internally and externally
  • Ensures data integrity of information stored in the grants management system
  • Serves as support contact for stakeholders on questions related to the platform
  • Manages user accounts and associated access and modification rights
  • Maintains current and high level of expertise and knowledge on the grants management platform
  • Creates documentation and provides training (live and self-service) to United Way stakeholders
  • Serves as primary contact with the grants management system vendor
  • Enhances and further develops grants management platform to meet the emerging needs of United Way, partner agencies, and its users
  • Develops and maintains best practices for investment process implementation
  • Proactively suggests changes to recurring and new processes
  • Develops and maintains system disaster prevention and recovery procedures
  • Closely coordinates with and provides training to other designated United Way staff
  • Serves as subject matter expert on data structure within the grants management system and its interfaces
  • Brings a project management mindset and approach to the design and execution of processes
  • Explores connection points to and where applicable facilitates integration of grants management system data into United Ways Customer Relationship Management (CRM) and Enterprise Resource Planning (ERP) systems
  • Explores consolidation of signature and acknowledgement processes for agreements
  • Exploration of worthwhile approaches to applying Artificial Intelligence (AI) tools to the grants management system platform, related processes, and content
  • May design and lead a process to evaluate UWSA’s needs regarding a grants management platform, compare them to system capabilities, and, if determined necessary, guide a procurement process

Requirements:

  • Bachelor’s degree – required / master’s degree – preferred
  • Five to eight years’ experience
  • Experience in working effectively in multicultural environments
  • Strong relationships in the nonprofit, public and private sectors
  • Deep working knowledge and command of grants management systems (e.g. e-CImpact, Foundant, Fluxx, Salesforce or similar) and understanding how users interact with them
  • Ability to be an effective thought partner with teams across multiple departments in the design and implementation of grants management processes
  • Ability to translate stakeholder content and process requirements into effective grants management system structures and processes with a mindset focused on customer service
  • Ability to work with a wide range of stakeholders from nonprofit agency executives and United Way leadership to individual end users completing applications in the platform
  • Use of light-weight project management tools (e.g. Monday.com, ClickUp, Smartsheet)
  • Management of process integrity and attention to detail
  • Knowledge of the nonprofit arena and the ability to develop and maintain strong relationships with clients, community partners, donors and volunteers
  • Strong verbal and written communication skills with a wide variety of audiences
