Responsible for direction, oversite and operational activities of the Ambulatory practices and programs under the Icahn School of Medicine.
Job Responsibility:
Provides administrative direction and coordination in the formulation, interpretation and administration of current and long range Ambulatory policies, procedures and programs
Under the direction of the Senior Director of Ambulatory and the AVP of Ambulatory Operations and in coordination with the Ambulatory Operations Directors, leads, directs and oversees the daily operation of Ambulatory practices, including reviewing workflows, reviewing staffing and ensuring staffing competencies are appropriate
Creates, implements and monitors consistent KPI’s tracking, reporting and disseminating information while providing guidance on and identifying areas for improvement
Manages work assignments, identifies, and supports resolution to issues working to resolve ongoing issues
Establishes goals and objectives for the Ambulatory practices that are consistent with Mount Sinai Health System or School of Medicines policies and federal, state and local regulations
Defines and documents procedures, identifies process and workflow changes for continuous improvement and implements best practices for greater efficiency
Collaborates with department and practice leadership and/ or Chairman/Vice Chair/Operations Directors to develop short term and long range plans
Will support Sr. Director for Ambulatory to define, create and implement a Practice Manager and Administrative Director on-boarding and mentorship program for the Ambulatory practices maintaining and updating as needed
Provides oversight and guidance to Ambulatory staff including practice managers, administrative assistants, front desk, scheduling staff, and other non-clinical employees to ensure compliance with established practices, to implement new policies and to keep employees aware of changes and current standards
Drive operational improvements through Epic optimization efforts, including upgrade readiness, workflow redesign, and implementation of new functionality to support ambulatory practice performance and patient care delivery
Assures compliance with regulatory, insurance and ethical standards regarding safety of patients, employees and property
May be responsible for developing annual training schedules, and creating multi-disciplinary training curriculum throughout the Medical Center, if applicable, and is also responsible for maintaining records pertaining to those training sessions
May be responsible for creating, reviewing and/or updating policies and procedures pertaining to department specific goals and objectives including downtime procedures and emergency management protocols
May support practices and program in planning and reviewing budget needs by analyzing short and long-term program plans
Assures EMR and financial systems are in place to properly run the departments
May implement quality assurance programs and oversees monitoring activities to meet standards and regulations of accrediting agencies such as Joint Commission on the Accreditation of Healthcare Organizations (JCAHO), and New York State and City Department of Health
Collaborate with department leadership and teams to establish KPI goals, monitor performance metrics, and support accountability and continuous improvement initiatives
