Job Description

A Dining Administrative Assistant with American Dining Creations plays a key role in maintaining efficient administrative processes while supporting on-site leadership and ensuring seamless day-to-day operations. The ideal candidate thrives in a structured, client-focused corporate environment and demonstrates strong organizational, financial, and communication skills.

Job Responsibility

  • Manage and process payroll accurately and in a timely manner in accordance with company guidelines
  • Support accounts payable functions including invoice review, reconciliation, and vendor communication
  • Maintain accurate financial records and assist with weekly and monthly reporting
  • Coordinate ordering and inventory of office and operational supplies
  • Serve as the primary point of contact for incoming calls, emails, and office inquiries
  • Maintain organized electronic and paper filing systems for payroll tracking, financials, compliance, and any required documentation.
  • Assist management with preparation of reports, spreadsheets, presentations, and internal communications to include menu boards/programing.
  • Support onboarding documentation and administrative processes for new team members
  • Ensure compliance with company policies, client expectations, and dining standards
  • Provide administrative support for meetings, events, and client-facing functions
  • Frequently assist with food and beverage service, food preparation, catering events including setup and event breakdown, inventory and merchandizing.
  • Deliver exceptional customer service to clients, guests, and team members
  • Maintain strict confidentiality of financial, payroll, employee, and client information
  • Contribute to a positive, professional workplace culture
  • Perform all other duties as assigned

Requirements

  • High school diploma or equivalent required
  • Degree in Business Administration or related field preferred
  • Minimum of 1–3 years of administrative or office experience, preferably in a corporate, hospitality, or food service environment
  • Experience with payroll entry and accounts payable strongly preferred
  • Strong proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook
  • Excellent written and verbal communication skills with a polished, professional demeanor
  • Strong organizational and time management skills with the ability to prioritize multiple tasks
  • High attention to detail and accuracy with administrative work
  • Ability to work independently while supporting a team-based environment
  • Professional appearance and customer-focused mindset
  • Ability to adapt in a fast-paced corporate setting with changing priorities
  • Flexibility to assist with occasional early morning or late afternoon catering events as needed
  • This position may require lifting 30lbs, bending, walking, climbing stairs, and standing for extended periods.
