Job Description:

We are seeking a reliable and organised Depot Administrator to join a well-established company within the Transportation industry on an ongoing contract basis. This role is key to supporting the day-to-day administrative functions of the depot, ensuring smooth operations through accurate data management, effective communication, and timely processing of documentation.

Job Responsibility:

  • Raising & processing of purchase orders
  • First point of contact for site visitors & deliveries
  • Inputting of data across a variety of internal systems – stock management, purchasing, HR, HSEQ records etc
  • Managing incoming and outgoing enquiries in a professional manner and consult with key stakeholder & suppliers
  • Support with scheduling, record keeping, and general office coordination

Requirements:

  • Experienced administrator
  • Efficient & IT literate in using Microsoft applications including Excel
  • Adaptable to learn the basics of new IT systems
  • Self-sufficient
  • Capable of working independently
  • Solid organisational skills
  • Must pass a drugs & alcohol test prior to commencing work

  • Act as the first point of contact for operational staff and visitors, ensuring that there is a timely response, appropriate follow-up and escalation of issues to a relevant colleague
  • Ensure that the correct levels and appropriate PPE and stationery are in place and that company accounting processes are followed and sufficient petty cash is available
  • Update and maintain employee and operational records in accordance with statutory and company standards, procedures and data protection requirements
  • Co-ordinate site audits and ensuring relevant paperwork and procedures are in place
  • Contribute to the development and implementation of site procedures and processes, ensuring all relevant colleagues are fully briefed and updated of any changes
  • Assist management colleagues with the development and management of company systems and associated software, coaching others in their application where required
  • Attend meetings when required and ensures accurate and comprehensive notes are taken
  • Provide administration cover where required on a company-wide basis and ensure other colleagues are fully inducted and developed to ensure continuity in their absence
