Job Description

Depot Administrator role: Oversee Depot administration requirements and in partnership with management colleagues, ensure they are completed efficiently and effective processes are in place.

Job Responsibility

  • Act as the first point of contact for operational staff and visitors, ensuring that there is a timely response, appropriate follow-up and escalation of issues to a relevant colleague
  • Ensure that the correct levels and appropriate PPE and stationery are in place and that company accounting processes are followed and sufficient petty cash is available
  • Update and maintain employee and operational records in accordance with statutory and company standards, procedures and data protection requirements
  • Co-ordinate site audits and ensuring relevant paperwork and procedures are in place
  • Contribute to the development and implementation of site procedures and processes, ensuring all relevant colleagues are fully briefed and updated of any changes
  • Assist management colleagues with the development and management of company systems and associated software, coaching others in their application where required
  • Attend meetings when required and ensures accurate and comprehensive notes are taken
  • Provide administration cover where required on a company-wide basis and ensure other colleagues are fully inducted and developed to ensure continuity in their absence
  • Assist with company-wide projects and associated communications where required

Requirements

  • Level 3 Business Administration or equivalent
  • IT literate in Microsoft Office packages and have the ability to compile, analyse and interpret relevant data
  • Experienced in working with staff at all levels and working in a team-based office environment in a customer-facing role
  • Committed to ongoing professional development and has experience in coaching and supporting others to perform their role
  • Ability to use initiative and to be so organised that key tasks can be completed fully and on time
  • Ability to work to fluid targets and deadlines
  • Proven verbal and written communication skills
  • Proven arithmetic skills
  • High attention to detail and confident to challenge discrepancies where necessary in the right manner and on a timely basis
  • Ability to act with sensitivity
  • Capable of remaining calm under pressure and be able to deal with difficult conversations
  • Flexibility with shift pattern and location to assist with depot administration requirements
