We are seeking a reliable and proactive individual to join our team as a part-time Department Assistant Receptionist. As a Department Assistant Receptionist, you will provide essential administrative and clerical support, ensuring the smooth functioning of our department. Your responsibilities will include answering phones, managing calendars, making travel arrangements, coordinating events, and assisting with various office tasks. Additionally, the Department Assistant Receptionist will be expected to support executives at the Senior Leadership Team (SLT) level and below.
Job Responsibility:
Answering and directing incoming calls
Typing and word-processing documents
Maintaining calendars and scheduling meetings
Making travel arrangements
Coordinating building and equipment maintenance
Setting up and tearing down events hosted at the center
Managing office supplies and ensuring organization and cleanliness
Tracking expenses and attendance
Greeting visitors and providing assistance
Handling copying, faxing, and sorting/delivering mail
Providing supervision and guidance to other clerical/administrative staff as necessary
Requirements:
High school diploma or GED
2 years of customer and/or clerical experience
1 year of experience managing and coordinating travel arrangements, lunch orders, RSVPs, and sorting/delivering mail
1 year experience managing an office, including opening/closing, office supplies, checking printers, organization, and cleanliness
Knowledge of customer service principles and practices
Good verbal and written communication skills
Ability to lift up to 30 lbs
Nice to have:
1 year experience of proficient use of Microsoft Office, including Excel and Word
2 years of call center phone experience or receptionist experience
