Job Responsibility:
Manages and monitors dental status and financial compliance for Dentistry patient base
Acts as a liaison between patients and providers to ensure appropriate dental records tracking, treatment planning, financial counseling, and accounts receivable management
Responsible for seamless and timely patient movement through the treatment plan, from maintaining appointments, treatment planning, financial arrangements, and approval phase until case completion
Performs complex administrative duties in support of the Oral Medicine clinic and research activities
Communicates regularly with patients, families, clinical and non-clinical staff, identifying barriers to scheduling, treatment, care and follow-up
Maintains expert level understanding of the Oral Medicine division
Trains new staff members
Assists in clinical research activities
Serves as liaison, appointment coordinator, and patient advocate to assist in the coordination of scheduled visits
Prioritizes referral requests using department protocols, responding and immediately expediting most urgent requests
Ensures ancillary testing and other specialty referrals have been executed and results received
Coordinates and obtains all imaging, photos, blood work, etc. prior to scheduled appointment date
Collaborates with all members of the care team to facilitate superior communication with the patient for best treatment outcomes
May perform complex appointment scheduling, linking referrals and ancillary services
Sends after-visit reports to internal and external referring providers and associated physicians/dentists
Maintains ongoing communication with all hospital referring departments (BMT, Hematology, Radiotherapy, Medical Oncology, Head & Neck Cancer, Cardiac Surgery)
Coordinates the scheduling for all remote visits
Provides patient with an introduction to Oral Medicine, obtains all required medical documents, schedules telemedicine visits
Registers new patients in eRecord, obtains patient signatures for release of information, coordinates medical records with HIM, as appropriate
Assists in human subject recruitment and screening activities, including reviewing study site patient databases and office records for patients that meet the protocol inclusion criteria
May conduct telephone interviews to screen potential study candidates
Reviews medical chart history with Principal Investigator to verify inclusion criteria are met before enrollment
Enters study data and ensures for completeness of data entry
Performs other duties for Oral Medicine Chair as directed, including working on quality assurance and other special projects
Requirements:
Associate's degree in related field preferred
3 years of administrative dental or medical office experience preferred
Equivalent combination of education, training and experience required
Strong working knowledge of computer-based systems: Epic, axiUm, Zoom, Microsoft Office, etc. preferred
Strong customer service skills (via telephone and in person) required
Ability to communicate effectively and professionally required
Ability to work well in a fast-paced environment required
Ability to work with a diverse patient and provider population required
