We are looking for a Customer Service Specialist to support front desk and administrative operations in Hayward, California. This Long-term Contract position is ideal for someone who enjoys delivering responsive service, coordinating document workflows, and assisting with accounts payable support in a fast-paced hospital environment. The person in this role will help keep daily office processes organized while ensuring questions, requests, and financial documents are handled accurately and on time.
Job Responsibility
Support accounts payable activities by reviewing vendor statements and helping resolve reconciliation discrepancies
Receive incoming invoices, apply accurate receipt tracking, and organize documents for timely processing each day
Enter invoices that need authorization into the appropriate system so they can be logged and routed correctly
Scan approval-related invoice documents and place them in the correct electronic folders on a daily basis
Respond promptly to inquiries, follow through on open requests, and maintain a high standard of customer service and quality
Manage departmental supply inventory and coordinate replenishment to keep daily operations running smoothly
Sort incoming mail, maintain organized files, and retrieve records or supporting documents when needed
Handle inbound calls, direct inquiries to the appropriate contacts, and communicate professionally with staff and customers
Carry out daily responsibilities in alignment with established hospital service expectations and workplace standards
Requirements
High school diploma or GED equivalent required
Experience in customer service, front desk support, or administrative coordination
Working knowledge of accounts payable terminology, invoice handling, and statement reconciliation processes
Ability to answer moderately complex questions and gather information from multiple sources
Strong verbal and written communication skills with a detail-oriented and service-focused approach
Proficiency with computer systems and office software used for data entry, scanning, and document management
Ability to build effective working relationships with detail-oriented, technical, and non-technical team members
Strong organizational skills with the ability to manage mail, filing, and multiple daily priorities accurately
