Job Description

We are looking for a Customer Service Specialist to support front desk and administrative operations in Hayward, California. This Long-term Contract opportunity is ideal for someone who enjoys delivering responsive service, managing office workflows, and assisting with accounts payable support tasks in a fast-paced hospital environment. The person in this role will help keep documentation organized, respond to inquiries efficiently, and contribute to smooth daily departmental operations during an evening shift.

Job Responsibility

  • Provide courteous front desk and administrative support by responding to questions, addressing service requests, and ensuring timely follow-up on customer needs
  • Assist the accounts payable team by reconciling vendor statements and helping maintain accurate financial records
  • Receive incoming invoices, apply date-of-receipt tracking, and organize documents for daily processing
  • Enter approval-required invoices into the appropriate system to support proper documentation and routing
  • Scan invoice records and upload them to the correct electronic folders each day for review and approval
  • Sort incoming mail, maintain organized files, and retrieve supporting documents when requested
  • Monitor and replenish departmental office supplies to help maintain uninterrupted daily operations
  • Uphold service quality expectations and follow established hospital standards in all assigned duties

Requirements

  • High school diploma or GED equivalent required
  • Prior experience in customer service, front desk coordination, or administrative support preferred
  • Working knowledge of accounts payable terminology, invoice handling, and statement reconciliation
  • Ability to answer moderately complex questions, route incoming calls, and gather information from multiple sources
  • Strong verbal and written communication skills with the ability to interact professionally with diverse teams and clients
  • Proficiency with computer systems and common office software used for data entry, scanning, and document management
  • Strong organizational skills with the ability to manage mail, filing, and multiple priorities accurately
  • Ability to maintain a customer-focused approach while supporting quality assurance standards and established procedures
