We are looking for a compassionate Customer Service Representative to serve as a welcoming first point of contact for clients seeking behavioral health support in St. Petersburg, Florida. This contract-to-permanent opportunity is ideal for someone who can provide calm, respectful service in sensitive situations while keeping front-desk and scheduling activities organized. The person in this role will help create a positive experience for clients, visitors, and staff by combining strong communication skills with accuracy, courtesy, and empathy.
Job Responsibility
Welcome clients, visitors, and team members with a detail-oriented and supportive approach at designated outpatient sites.
Manage check-in and check-out activities efficiently while verifying and updating client information for accuracy.
Coordinate appointments for clients and providers, including outreach for confirmations and follow-up related to missed visits.
Accept payments, provide receipts, and reconcile the cash drawer at the end of each assigned shift.
Partner with clinical teams to help maintain smooth movement of clients through scheduled services and address pending concerns.
Carry out assigned opening and closing tasks to keep the front office prepared for daily operations.
Route incoming faxed documents and support timely administrative distribution when needed.
Gather client feedback through satisfaction surveys and support accurate data entry in agency systems.
Travel to other local service locations when coverage is needed, with mileage reimbursement provided for eligible daytime travel.
Requirements
Previous experience in customer service, front desk support, call center operations, or a similar client-facing role.
Ability to communicate with empathy and professionalism when assisting individuals who may be upset, anxious, or in crisis.
Strong administrative skills, including data entry, appointment scheduling, inbound call handling, and email communication.
Comfort working in a healthcare, behavioral health, or other sensitive service environment is preferred.
Ability to manage multiple tasks accurately while maintaining a welcoming and organized reception area.
Reliable transportation and willingness to commute to other nearby locations for coverage as needed.
Proficiency with basic computer systems and the ability to learn agency software and documentation procedures quickly.
