Job Description

We are looking for a dedicated and detail-oriented Customer Service Representative II to join our team on a long-term contract basis in Baltimore, Maryland. In this role, you will serve as a critical point of contact for customers, ensuring their needs are addressed with professionalism and accuracy. You will play a key role in handling vehicle impoundment processes, resolving disputes, and maintaining compliance with city and state regulations.

Job Responsibility

  • Guide customers through required procedures and documents necessary for vehicle release or transfer for auction, while explaining associated policies and fees
  • Examine police reports, towing receipts, and inventory forms for relevant vehicle impoundment data, ensuring completeness and consistency
  • Assess customer-provided documents, such as vehicle registration, driver’s licenses, and insurance coverage, to verify their authenticity and validity
  • Identify the necessary steps and paperwork for vehicle release, auction, or disposal based on specific impoundment circumstances and applicable laws
  • Access Department of Motor Vehicle databases to check for liens or unresolved violations associated with impounded vehicles
  • Coordinate and schedule administrative hearings to resolve disputes related to vehicle impoundment
  • Maintain accurate records and documentation while adhering to organizational policies and procedures
  • Collaborate with internal teams to ensure seamless communication and resolution of customer inquiries
  • Perform additional tasks as required to support customer service and operational goals

Requirements

  • Strong organizational skills with experience in indexing and filing
  • Proficiency in electronic record management systems and Microsoft Office applications
  • Excellent attention to detail for reviewing and verifying documentation
  • Demonstrated ability to provide superior customer service and resolve inquiries effectively
  • Familiarity with vehicle impoundment policies and procedures is an advantage
  • Ability to manage multiple tasks efficiently in a fast-paced environment
  • Strong communication skills to interact professionally with customers and team members
  • Willingness to learn and adapt to new systems and processes

  • Document vehicle condition by taking photographs, with close attention to any visible damage present at the time of receipt
  • Receive and secure vehicle keys, complete key control documentation, and maintain accurate tracking of stored keys
  • Remove visible valuables when required, record all personal property, and transfer items to a designated secure storage area using proper chain-of-custody procedures
  • Complete inventory and control forms by recording billing details, tow information, storage location, and associated property references, then obtain required signatures for accuracy
  • Enter vehicle and property information into the database, upload supporting images, and assemble complete case files for supervisor review
  • Label vehicles with tracking identifiers, impound dates, and property references, and maintain a daily log of all vehicles processed
  • Communicate potential security concerns, including signs of tampering or unsecured custom equipment, to appropriate personnel and assist with related operational tasks as needed
