We are looking for a Customer Experience Specialist to join a fast-moving service environment in Wisconsin. This contract-to-permanent opportunity is ideal for someone who enjoys helping customers, managing a busy phone queue, and keeping daily operations organized. The person in this role will support appointment scheduling, customer communication, and coordination with internal teams to ensure a smooth service experience. Success in this position requires strong communication skills, reliability, and the ability to stay composed while handling multiple priorities.
Job Responsibility
Coordinate incoming customer requests by phone and email, providing courteous and attentive support throughout each interaction.
Arrange service and project appointments using scheduling platforms such as ServiceTitan while ensuring calendar accuracy.
Track new inquiries and update customer records, follow-up details, and service notes in the appropriate systems.
Work closely with dispatch, field personnel, and team members handling calls to maintain efficient coverage and timely response times.
Manage a high volume of customer communication while prioritizing urgent needs and maintaining attention to detail.
Support daily office operations by following established service workflows and ensuring customer requests move forward promptly.
Communicate clearly with customers regarding appointment timing, next steps, and any required updates.
Maintain organized documentation of conversations, scheduling activity, and outstanding items requiring follow-up.
Requirements
At least 2 years of experience in customer service, call center support, or a similar customer-facing position.
Proven ability to manage multiple tasks at once in a fast-paced, high-call-volume environment.
Strong verbal and written English communication skills
bilingual ability is an advantage.
Comfortable working across multiple browser windows, email platforms, and customer service systems.
Experience with scheduling or service management software, with ServiceTitan experience strongly preferred.
Dependable attendance, punctuality, and a consistent record of reliability in previous roles.
Ability to learn new processes quickly, accept coaching, and apply feedback effectively.
Background supporting HVAC, construction, trades, or related service-based industries is preferred.
