Job Description:

Our client is seeking an experienced Cost Clerk to join their established legal team, supporting the Family department with the management and preparation of Legal Aid cost claims. This is an excellent opportunity for someone with strong knowledge of Legal Aid Agency (LAA) processes who is looking to further their career in a supportive and collaborative legal environment.

Job Responsibility:

  • Working with External Costs Draftsmen
  • Coordinating the preparation of final bills of costs alongside external Costs Draftsmen
  • Providing clear instructions and ensuring all relevant case documents are supplied
  • Reviewing draft bills for accuracy, compliance, and completeness
  • Managing amendments, queries, and clarifications to ensure bills are finalised in a timely manner
  • Internal Liaison & File Management
  • Working closely with fee earners to confirm files are complete and fee notes accurately recorded
  • Maintaining internal logs, spreadsheets, and reporting systems for submitted claims, payments received, and outstanding queries
  • Ensuring all cost‑related documentation is stored and handled in line with GDPR and internal policies
  • Legal Aid Management
  • Checking bills of costs and Claim1 forms to ensure all disbursements are correctly captured
  • Ensuring full compliance with LAA requirements, procedures, and cost assessment standards

Requirements:

  • 1-2 years' experience in Legal Aid costing
  • Strong working knowledge of LAA procedures, CCMS, Claim1 forms, fixed fees, high‑cost cases, and cost assessment processes
  • Experience liaising with external Costs Draftsmen
  • Exceptional attention to detail and high accuracy
  • Strong organisational skills and the ability to manage multiple deadlines
  • Clear and confident written and verbal communication
  • Ability to work independently as well as collaboratively within a team

Nice to have:

  • Familiarity with legal case management systems (e.g., Proclaim, ActionStep)
  • Previous experience within a law firm or Legal Aid‑funded department

  • Collation of commercial data as required by the Project team (Accruals/PO Status/Account Issues)
  • Timely resolution of all account queries with suppliers and delivery teams
  • Working closely with the SQS/QS you will assist with the cost control of the Project, focussing on labour / plant / materials through tracking of orders and regular reconciliation of costs with budget
  • Timely GRN of all POD’s received onto the system, and liaison with the finance team to ensure DPO (Days Payment Outstanding) remains within business tolerance
  • Proactive approach to closing out issues with POD/Invoice issues with suppliers/Delivery Team/Finance
  • Responsible for the accurate and timely cost collation, reconciliation and reporting of data from site records - time and allocation sheets, GRN’s, POD’s (or delivery team approval if POD missing)
  • Liaising with Construction Managers / Supervisors for the completion of these site records and retrieving them from one of the MMA Compounds if necessary
  • Ensuring all labour, plant and material schedules and trackers are maintained and accurate as well as periodic review of the suppliers allocated to each Cost Clerk, assuring balanced workloads
