Job Description

The Travel Coordinator provides administrative and operational support to the Senior Travel Coordinator, assisting with day-to-day travel operations across PDI. This role is responsible for processing travel requests, maintaining accurate travel documentation, and coordinating travel arrangements for employees and candidates across various departments. The Travel Coordinator works closely with our outside travel management company and vendors to ensure timely, accurate travel arrangements that align with company requirements — helping deliver the best possible travel experience for all PDI travelers.

Job Responsibility

  • Collect travel details from employees and coordinate with internal departments to gather required travel information, entering data accurately into our travel management platform, Egencia
  • Check hotel, flight, and car rental availability

  • and process changes or cancellations as needed, under the direction of the Senior Travel Coordinator
  • Prepare, update, and maintain travel records, itineraries, and documentation to ensure all travel-related information is organized and current
  • Communicate itinerary confirmations, updates, and travel policy information to employees, ensuring all travel needs are met within company and department guidelines
  • Monitor shared travel inboxes and route inquiries to the appropriate team member in a timely manner
  • Assist with monthly reconciliation tasks, including organizing receipts, preparing documentation for expense reporting, and managing the monthly travel expense report
  • Maintain organized files for travel vendors, invoices, and internal travel requests
  • Provide general administrative support to the travel team as needed

Requirements

  • Strong attention to detail and accuracy in data entry
  • Possess excellent customer service, communication, and interpersonal skills
  • Must be able to maintain a high level of confidentiality and professionalism
  • Ability to work independently and manage multiple administrative tasks
  • Basic familiarity with scheduling and/or calendar management
  • Comfortable working in a fast‑paced environment with shifting priorities
