Job Description

The Corporate Executive Assistant is a critical support position providing high-level administrative assistance to the Infusion Therapies & Platforms (ITP) Group President, as well as Finance and HR leaders within Baxter Healthcare. This role is responsible for managing executive schedules and communications, ensuring seamless coordination and prioritization to optimize operational efficiency. The Executive Assistant will oversee calendars, communications, meeting coordination (both virtual and in-person), business events, travel logistics, office support, and workspace coordination. Success in this role requires exceptional communication skills, strong organizational capabilities, and the ability to manage multiple priorities in a fast-paced environment. A proactive mindset, sound judgment, and a strong understanding of company values and policies are essential. Performance will be measured by the effective management of executive priorities, timely execution of administrative responsibilities, and the ability to enhance productivity through strategic support.

Job Responsibility

  • Manage executive calendars, including scheduling meetings, appointments, and travel
  • Coordinate with internal and external stakeholders to ensure seamless execution of meetings and events
  • Provide timely reminders and updates to executives and stakeholders
  • Prepare and edit correspondence, reports, and presentation materials
  • Respond to emails, phone calls, and inquiries on behalf of executives
  • Maintain strict confidentiality when handling sensitive information
  • Serve as a primary point of contact between executives and internal/external stakeholders
  • Coordinate complex travel itineraries, including flights, accommodations, and transportation
  • Ensure all required materials and documentation are prepared for travel
  • Arrange travel for executives and team members as needed
  • Plan and coordinate executive-level meetings, conferences, and presentations
  • Organize agendas, capture meeting notes, and track follow-up actions
  • Partner with vendors and stakeholders to ensure successful event execution
  • Ensure all materials, technology, and logistics are in place
  • Maintain accurate records of executive activities, including meetings, travel, and communications
  • Support decision-making by providing data insights and reporting as needed
  • Ensure compliance with company policies, procedures, and documentation standards

Requirements

  • High school diploma or equivalent required
  • associate's or bachelor's degree preferred
  • 8+ years of experience in an executive administrative role, preferably within a global healthcare or pharmaceutical organization
  • Proven ability to support senior executives with complex, high-volume international travel needs
  • Strong organizational, prioritization, and time management skills
  • Ability to maintain discretion and handle confidential information with integrity
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and M365 Copilot
  • Experience with calendar management tools and administrative systems
  • Certified Administrative Professional (CAP) or Certified Executive Secretary (CES) designation preferred
