Coordinator for the Wound Care Office at Advocate Condell Medical Center. Responsible for registration, scheduling, medical records, planning, management, implementation, and evaluation of operations/services to ensure quality, efficiency, and patient satisfaction.
Job Responsibility:
Assure compliance with billing regulations and maximize revenue collection
Train staff and physicians on proper use of encounter forms
Ensures the availability of the medical record and all medical information for physicians and patients
Perform periodic audits and quality checks to assure compliance with performance standards
Measures the effectiveness of the medical records process by performing regular audits
Work cooperatively with various internal departments and outside vendors to coordinate the delivery of quality services
Works with contracted vendor in the copying and storage and medical records
Assure compliance with customer service standards and scripts for greeting patients, answering phones, and triaging calls
Monitor's daily reconciliation process to assure proper balancing and processing of payments
Maintains an effective process for the creation, filing, storage, maintenance and retrieval of medical records consistent with Condell policies and procedures
Monitor and maintain the proper inventory of supplies, forms and documents
Review vendor bills of office supplies and services for accuracy and legitimacy
route to coordinator for payment authorization as needed
Assess and monitor equipment for proper function and maintenance
Develop, update and implement policies, procedures and standards to assure effective and efficient operations consistent with Advocate Condell and corporate philosophy, policies and procedures
Utilizes EMR to monitor cancellation trends, patient appointments and appropriate scheduling
Monitors day to day activities, level of service and technical performance of all associates in designated area
Assesses performance, identifies improvement, provides feedback and develops plans for growth and discipline
CareNet, Lawson, Healthwares, and any other hospital based system required to verify patient information and billing/registration super user
Provides efficient, high-quality service to patients who arrive for appointments or who telephone or visit in person to request appoinments of information on bills and charges, referrals and other matters
Consistently demontrates sincere understanding and empathy in interactions with patients
Consistently adheres to Advocate service standards and MVP
In collaboration with team, meets or exceeds established patient satisfaction goals
Treats patients, families and associates with respect and incoporates cultural diffrences into interactions with patients
Participates in activities to evaluate and improve processes that will contribute to patient, associate and physician satisfaction
Responsible for conveying a professional image in compliance with Advocate clothing and grooming standards, and wears Advocate provided identification tag at all times
Completes all required customer service training and complies with scripting initiatives
Develop and plan daily work schedules for associates to assure productivity and efficiency
Establish and monitor policies and protocols for associates
Provide training and assistance for staff in customer service and quality improvement programs and issues
Assure that required competencies are completed on time
Obtain access for and train new associates on any hospital based documentation systems, Clinic EMR, necessary to function in their job duties
Select, interview, recommend hire with Clinic Coordinator, train, assess competency and evaluate performance of staff
Responsible for disciplinary actions with assistance from the Human Resources Department and site Coordinator/Manager
Assist with functions when the staffing is limited

Requirements:
Associate degree or equivalent
Minimum of three years experience in business office operations
1-2 years lead or supervisory experience
Above average computer skills
Above average interpersonal skills and communication
Sound analytical and problem solving skills
Above average organizational skills
Familiarity with medical terminology and coding/billing systems
Must be able to lift 20 to 50 pounds
Must be able to travel the Chicagoland area
