Job Description

We are looking for a detail-oriented Coordination Specialist to join a collaborative team. This contract-to-permanent position is ideal for someone who wants to grow their career who is eager to learn, communicates clearly, and enjoys managing multiple meeting logistics at once. The role supports a high volume of internal and external events, with a strong focus on vendor coordination, budget awareness, and detail-oriented interaction with physicians and other stakeholders.

Job Responsibility

  • Plan and coordinate a wide range of meetings and events, including department sessions, external gatherings, and corporate functions
  • Manage event logistics from initial timeline development through final execution, ensuring each detail is organized and tracked carefully
  • Work with hotels, venues, and other vendors to secure favorable terms, review agreements, and support cost-conscious decision-making
  • Monitor meeting budgets, maintain accurate expense tracking, and help identify opportunities to control spending
  • Arrange travel, lodging, meeting space, and related services for attendees and event participants
  • Communicate clearly to ensure smooth coordination
  • Support virtual and hybrid meeting needs by preparing and facilitating event delivery
  • Maintain organized records, schedules, and event documentation using structured tracking methods and strong administrative follow-through

Requirements

  • 1-2 years of experience in meeting coordination, event support, administrative operations, or a related field
  • Strong organizational skills with the ability to manage timelines, budgets, and multiple priorities at the same time
  • Strong communication skills and confidence interacting with physicians, vendors, and cross-functional stakeholders
  • Experience coordinating vendors, venues, contracts, or travel arrangements for meetings and events
  • Budget awareness and the ability to support cost-effective planning decisions
  • Proficiency with virtual meeting platforms and standard office tools used for scheduling, tracking, and communication
  • A positive, team-oriented attitude with a willingness to learn and grow in a supportive environment

Nice to have

Certified Meeting Planner (CMP) designation is a plus, but not required
