Pivotal role overseeing the smooth running of a busy service department, being the go-to person for customers needing equipment servicing and contract support, ensuring operations run seamlessly and delivering a professional and customer-focused experience
Job Responsibility:
Coordinate repairs, including booking equipment in, arranging collections/returns, and liaising with engineers and customers throughout the repair process
Manage and administer maintenance contracts, including renewals, amendments, and updates
Negotiate service contracts
Prepare, issue, and track contract renewal quotations and service documentation
Maintain accurate and up-to-date records in the CRM and service management systems
Provide excellent customer service, handling calls and emails professionally and promptly
Support the service and contracts team with general administration, scheduling, and documentation
Assist in preparing management reports and service performance data as required
Liaise with suppliers and internal departments to ensure efficient coordination of services
Ensure all customer interactions and contract activities are compliant with company policies and procedures
Requirements:
Solid administrative experience in a similar office-based role
Proven ability to negotiate service contracts
Background in contracts administration or service coordination
Excellent communication skills and a confident, professional telephone manner
Strong attention to detail and ability to juggle multiple priorities
Proficiency in Microsoft Office and CRM/service management systems
Organised, proactive, and comfortable working independently and collaboratively
Professional and customer focused
Reliable, methodical, and takes ownership of responsibilities
Thrives in a fast-paced, service-led environment
Positive team player with a can-do attitude
