Job Description

This long-term contract position will focus on providing comprehensive administrative support for contract management processes while ensuring compliance and efficiency throughout the contract lifecycle. The ideal candidate will play a key role in organizing documentation, collaborating with stakeholders, and assisting with contract-related tasks to facilitate seamless operations.

Job Responsibility

  • Prepare and assist with contract negotiation reviews under the guidance of the contracts management team
  • Collaborate with stakeholders to coordinate kick-off meetings and ensure alignment on contractual terms and processes
  • Maintain centralized databases for prime and subcontractor agreements, tracking documentation status and ensuring accurate recordkeeping
  • Monitor contract spend, change orders, milestones, and renewal dates, providing timely updates to relevant teams
  • Support compliance tracking by maintaining codes in designated systems and educating teams on risk management practices
  • Manage approved subcontractor lists, coordinate onboarding processes, and track compliance documentation
  • Oversee business license renewals and payments, ensuring all compliance records are accurate and up to date
  • Assist with rental agreements by coordinating necessary documentation and payment submissions
  • Update contract lifecycle dashboards and performance metrics, contributing to process improvements and reporting efficiencies
  • Respond to requests for Certificates of Insurance, Bonds, NDAs, and similar contract-related documents

Requirements

  • Proven experience in administrative support or contract management within a construction or similar industry
  • Strong organizational skills with the ability to maintain detailed records and manage multiple tasks simultaneously
  • Proficiency in systems such as Vista, Smartsheet, or similar platforms for compliance tracking and database management
  • Excellent communication skills for coordinating with stakeholders and providing clear updates
  • Attention to detail and a proactive approach to ensuring contracts and compliance requirements are met
  • Familiarity with subcontractor onboarding processes and vendor management
  • Ability to analyze and track contract-related data, including spend, change orders, and milestones
  • Knowledge of business license compliance processes and documentation requirements
