We are seeking an organised and commercially aware Contract Support Manager to support the effective delivery of maintenance services across our contracts. The role will take ownership of planning and scheduling for Planned Preventative Maintenance (PPM) and Reactive Works, while also providing key administrative and financial support to the contract management team. This is a pivotal role ensuring operational efficiency, compliance, and accurate commercial control across day-to-day activities.
Job Responsibility:
Provide day-to-day support to Contract and Engineers to ensure smooth service delivery
Act as a central point of coordination between clients, engineers, subcontractors, and suppliers
Maintain accurate contract documentation, job records, and reporting
Own and manage PPM schedules, ensuring statutory and contractual compliance
Coordinate and prioritise reactive maintenance works
Allocate engineers and subcontractors efficiently, balancing workload and SLA requirements
Monitor progress of works, chase completion, and update CAFM/job management systems
Raise and manage purchase orders in line with contract requirements
Support invoice checking, reconciliation, and approval processes
Track costs against budgets for reactive and planned works
Assist with financial reporting and forecasting
Produce operational and performance reports (PPM compliance, SLA performance, workload tracking)
Support continuous improvement initiatives across planning, reporting, and contract processes
Requirements:
Experience in a Contract Support, Planner, or Scheduling role within facilities management, maintenance, or engineering environments
Strong organisational and coordination skills
Good understanding of PPM and reactive maintenance delivery
Confident user of CAFM systems, job management software, and Microsoft Excel
Ability to manage multiple priorities and work independently
Nice to have:
Experience supporting FM or engineering service contracts
Understanding of commercial processes such as POs, invoicing, and cost tracking
Exposure to KPI and SLA-driven environments
