Job Description

We are looking for a detail-oriented individual to join our team as a Contract Sample Management specialist. In this role, you will oversee the flow of apparel, footwear, accessories, and brand samples to help support go-to-market initiatives and keep product materials organized, accessible, and on schedule. This position is ideal for someone who excels in inventory coordination, shipping logistics, and accurate tracking across multiple sample lines and global partners.

Job Responsibility

  • Manage seasonal sample requests for apparel, footwear, accessories, and global brand products to support merchandising and marketing timelines
  • Monitor inventory activity and coordinate shipments with external studio partners across multiple international locations using designated tracking tools
  • Review sample tracking reports each day to identify overdue, missing, or delayed items and drive timely follow-up
  • Receive, log, and unpack incoming samples while maintaining accurate records for all product categories
  • Organize sample rooms, track product movement, and separate priority items needed for key marketing presentations and shoots
  • Investigate and locate outstanding samples by reconciling incoming and outgoing inventory records
  • Process returned items from photo shoots and ensure all products are checked back into inventory correctly
  • Assist internal teams with clearing out and organizing samples from previous seasons to maintain efficient storage and access

Requirements

  • Experience in data entry, inventory support, sample coordination, or a related operational role
  • Strong proficiency in Microsoft Excel and comfort working with tracking spreadsheets and reporting tools
  • Ability to manage shipping activity, product movement, and inventory records with a high level of accuracy
  • Strong organizational skills with the ability to prioritize urgent follow-ups on missing or late samples
  • Familiarity with office systems and comfort working in both PC and Mac environments
  • Effective communication skills for coordinating with internal teams and external partners across multiple locations
  • Ability to support marketing or brand-related sample needs while maintaining orderly product storage and documentation
