Job Description

Support Service Sales and customers by managing order entry, contract administration, invoicing, and communication across ERP and FSM systems. This role ensures accurate processing of domestic and international service contracts and spare parts orders while coordinating with internal teams and external partners.

Job Responsibility

  • Enter and manage service contract and spare parts orders in IERP and Syspro systems
  • Process RMAs, service contract cancellations, invoicing, and credit card orders
  • Verify purchase orders, tax status, documentation, and maintain accurate order records
  • Coordinate shipments, ship dates, Incoterms compliance, and international freight requirements
  • Generate Commercial/Proforma Invoices and Shipper’s Letters of Instruction for international orders
  • Open, update, close, and maintain service contract agreements and opportunities in FSM
  • Manage customer, equipment, and opportunity data within FSM
  • Provide professional customer support via phone and email and manage FSM communication queues
  • Collaborate with Service Sales, warehouse teams, and freight forwarders
  • Participate in required meetings and complete assigned training
  • Opening CASEs for customers for support queues from phone or email

Requirements

  • Excellent customer service and professional communication skills
  • Strong organizational, multitasking, and attention-to-detail abilities
  • Proficiency with ERP systems, invoicing, and computer applications
  • ability to learn new systems quickly
  • Accounting and invoicing knowledge preferred
  • Self-motivated, adaptable, and effective working independently or as part of a team
  • Minimum of 5 years’ experience in customer service and/or accounting-related roles
