The Contract Project Coordinator is someone with about a year of experience in a support-focused role, designed for someone who is eager to continue learning agency operations and gain hands-on experience in project coordination. The Project Coordinator will work closely under the guidance of senior team members to ensure smooth execution of daily tasks, accurate tracking of deliverables, and reliable administrative support.

Job Responsibility

  • Provide day-to-day project support under senior oversight
  • Maintain timelines and task updates in Workfront
  • Route deliverables for internal review through ProofHQ
  • Schedule internal meetings, capture notes, and distribute clear recaps and follow-ups
  • Organize and manage folder structures, maintain version control, and archive files
  • Share timely reminders and updates with internal teams
  • Enter project data, job codes, and support timesheet monitoring
  • Flag potential project issues to senior team members
  • Ensure compliance with established processes, tools, and workflows

Requirements

  • Undergraduate degree in Business, Communications, or related field
  • Advertising agency experience required
  • Launch experience required
  • Strong organization, time management, multi-tasking, and problem-solving skills
  • Detail-oriented, thorough, and accurate
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook), Zoom, MS Teams
