We are looking for a highly organized and detail-oriented Contract Administrator to join our team in Honolulu, Hawaii. In this role, you will provide critical administrative support across multiple departments, ensuring the smooth execution of contracts, budgets, invoices, and travel arrangements. This position offers an opportunity to contribute to the operational success of a dynamic organization in the energy and natural resources industry. Job Responsibility:
Process and manage invoice submissions, ensuring timely tracking and follow-up with vendors and internal teams
Coordinate and oversee purchase order requests, contract forms, and the overall contract management process
Assist with budget tracking, reporting, and maintaining financial accuracy
Prepare and submit detailed expense reports in adherence to company policies
Organize and manage travel requests, including booking accommodations and scheduling itineraries
Track vendor quotes and agreements, facilitating the execution of NDAs and other contractual documents
Provide comprehensive administrative support and step in as a backup for other office personnel when needed
Ensure compliance with company safety standards and administrative procedures
Assist in planning and coordinating meetings, events, and other departmental activities as required
Requirements:
Associate’s degree or equivalent relevant experience
A minimum of 3-5 years of administrative experience in a fast-paced environment
Demonstrated ability to manage multiple calendars and arrange travel plans efficiently
Strong background in budget management and financial tracking
Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, Access, and PowerPoint
Typing speed of at least 50 words per minute
Exceptional attention to detail and ability to handle high-volume invoicing tasks
Experience supporting cross-departmental teams and managing competing priorities
