Job Description

We are looking for a Contract Administrative Assistant to support daily front office operations for an education-based organization in Calumet Park, Illinois. This position will serve as a welcoming first point of contact for visitors and families while providing bilingual Spanish assistance to help ensure clear communication. The role also includes general administrative support such as document organization, attendance-related data entry, and routine office coordination using common office technology.

Job Responsibility

  • Welcome visitors, respond to the front door, and provide attentive assistance to students, families, and staff
  • Offer bilingual Spanish support by interpreting or translating conversations for parents and guardians during office visits
  • Maintain organized filing systems to keep records accurate, accessible, and up to date
  • Assist with attendance-related administrative tasks using Frontline, with training provided as needed
  • Support office operations by preparing documents in Microsoft Word and handling routine clerical work
  • Use standard office equipment, including the copy machine, to complete daily administrative assignments efficiently
  • Respond to inbound inquiries and help direct questions to the appropriate school personnel
  • Help manage email correspondence and other front office communications in a timely and courteous manner

Requirements

  • Bilingual communication skills with the ability to assist parents and visitors in more than one language
  • Previous experience in an administrative, front desk, or office support role is preferred
  • Strong customer service skills and confidence when greeting visitors and handling inbound questions
  • Proficiency with Microsoft Word and general comfort using office technology and equipment
  • Ability to organize files, maintain records, and manage multiple clerical tasks with attention to detail
  • Experience with email communication and detail-focused written correspondence
  • Familiarity with attendance systems such as Frontline or student information platforms like Skyward is helpful but not required
  • Dependable availability to work a Monday through Friday schedule in Calumet Park, Illinois
