Job Description

We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in Rochester, New York. In this role, you will provide vital administrative support to executives or departmental teams, ensuring smooth operations and effective communication. This position requires an individual who is highly organized, adaptable, and proficient in Microsoft Office tools.

Job Responsibility

  • Prepare and manage detailed reports to support organizational needs
  • Maintain office supplies by monitoring inventory and placing orders as required
  • Coordinate and schedule meetings, ensuring all logistical arrangements are handled efficiently
  • Draft, edit, and distribute correspondence and documents with accuracy and attention to detail
  • Handle special projects and assignments with accuracy and attention to detail
  • Collaborate with team members to ensure seamless execution of administrative tasks
  • Act as a key point of contact for inquiries and communication within the department
  • Utilize advanced Microsoft Office skills to create and manage documents, spreadsheets, and presentations

  • Support the department in prioritizing tasks and managing deadlines effectively

Requirements

  • Minimum of 2 years of experience in an Administrative Assistant role
  • Proficiency in Microsoft Word, Excel, and Outlook, with advanced skills preferred
  • Familiarity with Adobe Acrobat for document handling and editing
  • Strong organizational skills and attention to detail
  • Ability to work both independently and collaboratively in a team environment
  • Excellent verbal and written communication skills
  • Demonstrated ability to manage multiple priorities and adapt to changing needs
  • Fast and accurate word processing skills
